4.- Boston Prep. Castle Caters confirmed, Goodie bags by Runners Alley, 10 away from selling out,
ask Mike (Loco Running) signs, School is ok, snow date is set.
We will have porta potties at mile 4 and 10. 4 water stops, Awards and prizes ok, Shirt ok, not high tech but
runners will like them.
New Business
1.- Membership renewal. Include people name, 1 email wil go out in February.
2.- Distribution of Turkey Trot donations. we decided to donate $1,250.00 to St Jude, St Thomas, Upper Room and
Sonshine Kitchen.
3.- Sean Coyle suggested we create a virtual awards room in the website by taking pictures of the different awards.

3.- Membership Report 164 members - 99 haven't renew yet. Mariano sent a reminder two weeks ago.
4.- Boston Prep - Wrap Up: we discussed the water issue, no parking problems, next year host the race at
West Running Brook since the school is available, we haven't gotten a lot of feedback, we had lots of
food, we plan to have a website like the one for Turkey Trot.
Once the finances are completed, Dave'd like to make some recommendation on where the money should go.
5.- Status pending Donations: St. Jude received the donation last Saturday (delievered by Maureen),
Upper Room received it on Wednesday (delievered by Rosa and Mariano). Still pending Sunshine Kitchen and
St. Thomas.
New Business
1.- Foothealth race - Mariano has the application ready, we'll have chip timing and online registration.
It was suggested we buy more tshirts.
2.- Jim Peters presented an idea suggested by Bob Parent to have some kind of Runner of the year. We decided
to keep it in mind
3.- Jim Peters reported that Maureen has some ideas to host a "Special Olympics" night at the Kids Summer
Fun Run. More information will be provided in upcoming meetings.

1.- Approve minutes February 3, 2010 - Motion by Sean, Rosa seconded.
2.- Treasurer Report $20,840.08 (March 2009 YTD: $16,359.00)
3.- Membership Report 166 | Pending renewals 55. Mariano sent 2 reminder emails.
One to everyone and one on Feb 21st to just those members that haven't renewed.
They will be removed by March 4 if they don't send their renewal.
4.- Boston Prep final numbers . Discussion: donation to First Parrish. Dave was not present, we tabled the
conversation.
5.- Donation Status. All 4 donations were delivered. We received a thank note from St. Jude and the Upper Room.
7.- Foothealth report: Online registraton is now open (2/24). 2 pre-registered so far.
Mariano will order 120 shirts from Larry Martin. Application is up on the website. Porta potty: will be ordered this month.
Eldon will manage course monitors, Chip timing by New England timing. MC by Mike T, Possibly no raffles. Will send email
to club members asking for volunteers and home made goodies (closer to race). An idea was discussed about paying
XC kids for course monitors. Will contact Amy and Nancy to ask what they think about it.
New Business
1.- Taxes status: done
2.- Track workouts: Start date March 31st. Informal 17 and 24.
3.- Wish List: PA System, Banner 6x3, Table, Laptop
4.- Jim Peters informed he received an invitation to run the Grace Race on Oct 9. We tabled it.
5.- Jim Peters informed the club was invited to attend the Derry Little League opening ceremony. We decided not to attend.
6.- Maureen requested we change the wording on the club application regarding the GP races the members of the club
run. The change must reflect that "Every time a family member runs a Grand Prix race, you receive a $5 credit
towards your annual dues."

5.- Mack's Apples Race Report. Eldon has everything under control. Rosa will get the food. Bob Knepp will do the water stop.
He will pick up numbers and apps from the barn.
6.- NH Grand Prix Report: Team captains were not present.
7.- Kids Summer Fun Runs: Discussed the possibility to extend the runs to 7 due to weather cancelations. No tshirts are left over. No trophies either.
Numbers left 546-1000. 165 medals. 719 participation ribbons. Plenty 1,2,3. Just a few pins, less than 100.
Next year possibly instead of trophies give away, backpacks and gym bags.
8.- Scholarship form update: Mariano will publish the current form and the commitee will decide changes during review meeting.
9.- PA System: Mike T. suggested we buy a system values 1,680.00 with AC power (may need to buy a generator too). Decision will be
made next month.
10.- New tables purchase status: Paul Doe will check a place that sells used items.
New Business
1.- Barn Party (fun run + bbq + clean up) date set for Sunday September 7, rain date Sunday Septemeber 21
2.- We received an email from Manchester Marathon requesting for volunteers. Will send it too members.
3.- Mill Cities Relay. Rosa informed that first meeting was already held. And will inform when next meeting will be.
4.- Annual Dinner. Date set for November 14. Rosa will call to reserve the Londonderry Country Club.

6.- Kids Summer Fun Runs: Wrap up. Tshirts quantity should go from 300 to 400. Awards: we need to order an extra
award for the age groups with 4 runners due to same number of points. Mariano presented a quote to replace the
popsicle sticks with color coded PVC printed sticks and the quote was not accepted by the majority.
New Business
1.- Turket Trot: Jim plans to work with Mariano to create a website for the Turkey Trot. The race will have online
registration. Awards just to the first 3 overall, first Derry and Londonderry. Medals (or similar) to all finishers.
Registration will be available on Wednesday, day before the race, to avoid race day nightmares.
2.- Grand Prix discussion - Roger D. complained that it's unacceptalbe that a GP race like Moose
on the Loose Gear on a hot day like that had no water or cups for ALL runners. Food was scarce too.
Jim E will collect members opinions and will write a letter.
3.- Scholarship forms: will go up in the website. Deadline Nov 1st. Budget $4,000.00
4.- Barn Party Sun Sept 20, 2009. RSVP
5.- Mill Cities Relay. Rosa informed that meetings will start soon.
6.- Annual Dinner November 13. Rosa will check with the LCC about possible caterers. Will bring menu options
next month. We need to pick a theme.
7.- We got a thank you note from Lynn Wiles for the donation to his cause.
8.- Mariano proposed to send a gift card for a local restaurant to Chris Pantazis from the Derry News/
Local papers as a token of appreciation for all the press the club got this year. Everyone accepted.

the Sunday long runs and agreed to make the Coffee Factor the official gathering place.
6.- NH Grand Prix Report: We came 2nd.
7.- Barn Party. Wrap up - Cost $200.00. All tables and water jugs have been cleaned.
8.- Scholarship forms: None received yet. Deadline Nov 1st. Send reminder.
9.- Annual Dinner November 13. Food selection will be made by Maureen and Rosa. Members will pay $5
10.- Mill Cities Relay. Rosa informed that the next meeting is on Oct 19. We paid $50 for the club fees.
11.- Annual Election. Jim Ewell will run for President, Jim Peters will run for VP, Maureen for Treasurer,
Mariano for Secretary.
12.- Pizza night after last workout: we spent $95.00 for 12 pizzas. Members appreciated the gesture.

own sub-website.
2.- Boston Prep: No change to the course. Set for Jan 24. Price has gone up. Application and online registration

1.- Approve minutes November 13, 2009

4.- NH Grand Prix Report: meeting to decide races same time as this meeting. Will try to select Foothealth and Sandown
5.- Annual Meeting - Wrap up - Caterer service food review. Several complains, food was cold, not enough and too expensive.
6.- Turkey Trot Wrap up: Food plus two turkeys will be delivered this week or next, no major issues.
A couple of complains received: medals, raffles and no water.
It was discussed we may need a police officer at
the top of the big hill to stop traffic in that intersection.
We need to make sure people undertands that all
proceeds go to charity.
After doing online registration, ask people to bring their reciept to the packet pickup
or race day to avoid any problems.
We need to organize volunteers a little different. Eldon had trouble finding volunteers for
road postions. Mariano had issues finding anyone to help after the race started to setup food, help
with finish line.
We may want to think about parking at Pinkerton and buses.
Maureen brought up the Gatorade COTS issue, Dave informed they are still stored at the Manchester
Marathon storage. They need to be cleaned an returned. The club discussed that, in the future,
the equipment will not be lended to events not sponsored by the club. During the conversation between
Maureen and Dave, Dave decided not to discuss the issue and abruptly left the room and the meeting.
7.- Boston Prep - Updates. Dave Breeden left the meeting abruptly before giving any updates.
8.- Mill City Relay. The club put together 12 teams, number pickup is this Friday at Rosa's.
9.- Boston Marathon numbers - changes process next year. Due to the high demand, the early race sell out, the
applications must be sent in by October 1st. Winners will be selected in the October meeting, notified and will
receive their application for Boston as soon as we receive them.
New Business
1.- Received thank you notes from Cassi Dolan and Rory/Lynn Fwacett regarding scholarships.
2.- Insurance states that no dogs and carriages should be allowed in the race/ race site.
We need to enforce this.
