MINUTES FOR JANUARY 4, 2012

Old Business
1. Approve minutes from December 7, 2011. Motion by Sean, Second by Dave
2. Treasurer Report: $10, 966.17. No Boston Prep money has been deposited yet.
3. Membership Report: 138 members. Lots of renewals outstanding.
4. Sponsorships: $5,100.00 in sponsorships from MVP, Enterprise Bank, and Walmart. Stonyfield is
donating 80 cases of greek yogurt. Cedars is donating humus and wraps. Coke is donating 10 cases of
water and possibly power aid. T-Bones is donating soup for the runners. All the sponsors logos will
go on the race shirt.
5. Boston Prep: Permit has been received and Emt and school are all set. Registration is a little
behind last year. Bag stuffing will be at First Parrish Church on Friday January 20 at 6:30. Early
packet pick up will also be at First Parrish on Saturday January 21 from 4-8 pm. Nu vision Action
Images will take pictures.
6. Turkey Trot: $7,294.00 profit. Distribution of donation was tabled until after Boston Prep. All
sponsors have received emails or letters of thanks. Dave will forward charlie Bemis a list of registered
runners so unclaimed raffle prizes can be distributed.
New Business
1. Thank you notes from Rory Fawcett and Janice Knepp for winning scholarships. Thank you note
received from Sonshine soup kitchen for food donation from turkey trot.
2. 1. NHGP: Mark Lutter and Sean attended a conference call to help select the races for this
season. The races selected; March 17 Shamrock Shuffle 5k in Lebanon, April 15 Soup Kitchen 10k in Nashua,
May 6 Wallis Sands half marathon in Rye, July 28 St Annes 5 mile in Hampstead, August 12 Epsom OHD 4 mile in Epsom,
September 3 St Charles 5k in Portsmouth, October 21 Granite 10 miler in Concord.

2. Treasurer Report: $17,391.23.
3. Membership Report: 53 renewals, 87 have not renewed yet. Eldon has mentioned it in reminder and Jim will send email to members
4. Boston Prep Recap: Successful day with only one complaint email about traffic control from a resident. Jim responded to her and we will notify her next year prior to race day so she can plan her route. We may have to move the mile 10 timing mat to the right side of the road to help with traffic. Last years registration issues were corrected and it went very smooth. The food was a big hit as usual. We did have a few questions concerning the shirts. We may have to get a full tech shirt next year. We have a few bills still outstanding and a few checks have not been received yet. As it stands now the profit is at $5000.00. It should be quite a bit higher after all the checks arrive.
5. Turkey Trot: 4 donations of $1800.00. St Thomas, Upper Room, Sonshine Soup Kitchen and St Judes. Lynn Wiles will coordinate pictures for a press release. Raffle prizes still outstanding will be distributed within the next week.
New Business
1. Pinkerton Track: Pinkerton track will be unavailable this summer due to reconstruction. John has contacted Londonderry about moving KSFR to their facility. They seem receptive but we still need to confirm dates. Track workouts will begin at Pinkerton and then move to either campus side or Londonderry.
2. Boston Prep web page: Web page needs some updating. Pictures need to be posted. Dave will contact Mariano.

2. Treasurers Report $16,278.49.
The 2010 Annual Report and 2011 Budget were discussed and reviewed
$200 was a leftover donation from the Turkey Trot. Several motions were discussed about where the donation
would go. Two motions were denied: A $250 donation to four different charities (St Judes, Sunshine, Upper
Room, and St Thomas) and $250 donation to St Jude's and Sunshine. A $150 donation to St Jude's and $150 to
Sunshine was approved. The Upper Room and St Thomas has received food and other donations from the club in 2010
A $250 donation was also voted and approved to the Marion Garrish for the use of their facility for our monthly meetings
3. Membership Report: 168, 79 haven't renewed
4. Webmaster Report- nothing to report
5. Brandon Newbould has been hired as track coach. Official track workouts start April 6th. There may be
unofficial workouts in March
6. Kids Summer Fun Run: A week may have to be skipped due to a conflict with one of the Pinkerton camps
7. Turkey Trot- Parkland Medical is a potential sponsor for the race. We have contacted them to pursue the
sponsorship. NE Timing has been hired. Lindmark will be hired for registration.
8. Grand Prix Shirts: They have been ordered and should arrive soon.
New Business
1. Family Membership: There was some discussion about the definition of a family membership for the club:
Children and Grandchildren of a member are acceptable. Adult siblings and relatives of a member are not
2. Sponsorships: Discussion on pursuing additional sponsors for the Turkey Trot and other races. John
McGarry is researching this point

7. Turkey Trot sponsorships: John McGarry and Jim Ewell met with Debra Poggi from Parkland. Parkland has agreed to be a "silver" sponsor for the race and donate $600. Other sponsors are being explored.
8. Grand Prix Shirts: 20 shirts left to be delivered and half of the purchased shirts have been sold. Anyone interested in a shirt should see Sean Coyle.
New Business
1. Mack's Apples: The race day has been set for August 28th. More info to follow
2. Grand Prix sign up: Sean Coyle suggested an addition to our website. For each Grand Prix race, there will be a place where an individual can inform the rest of the club that they are running. This will help ensure that we have at least three members for every age category.

5. Track Workouts-Despite continued rainy weather, there continues to be solid participation.
Brandon has been putting together challenging workouts for our runners to tackle

Pinkerton camps. Discussions with Pinkerton are ongoing. Dates are Thursday nights June 23rd
through July 28th. The August date is pending.
7. Turkey Trot Committees: To help the race director, there a several committees being
formed. After lengthy discussions, a plan is in place. More info to follow.
7. Turkey Trot sponsorships: Paperwork has been sent to Parkland, who has agreed to be
our first sponsor. Applications have been submitted to several other companies to request sponsorship.
8. Grand Prix Shirts: 6 shirts left to be delivered and 12 shirts are left to be sold.
Anyone interested in a shirt should see Sean Coyle.
9. Grand Prix sign up: Sean Coyle suggested an addition to our website. For each Grand

4. Webmaster Report- There was discussion about not advertising the Thanksgiving road race in Manchester on our website.

5. Track Workouts-Attendance has been down mainly due to bad weather and injuries. Eldon suggested that Brandon email
the workout to the club the night before. Jim Peters is sending an email to Brandon regarding the issue.
6. Kids Summer Fun Run: Dates are Thursday nights June 23rd through July 28th. Planning is in full swing. We have over
130 medals leftover, with 300 more on order. There are 116 leftover shirts, with $1,000 budgeted for new shirts to be ordered.
2400 ribbons are ready to be distributed and over $750 has been allocated for awards. The timing clock, PA system, signs,
and first aid kit are ready to go. The liability form is complete. Lynn Wiles has sent out the press release. John McGarry
is going to talk to Shaws, Market Basket, and Hannafords for donations for watermelons. Eldon will send a friendly reminder
out to the club and ask for volunteers.
7. Turkey Trot Committees: Still waiting confirmation on a race director. There are going to be competing races
that day, so planning and promoting will start early.
7. Turkey Trot sponsorships: Parkland Medical Center and NE Delta Dental have agreed to be "silver" sponsors. Money has
been received from Delta. Several other sponsors are being targeted

2. There has been a design suggested for the Kids Summer Fun Run shirts. We are evaluating the design and potential cost.

5. Track Workouts: The better weather has increased the size of attendance at the workouts.
The workouts have been challenging but Brandon has been very helpful with each members needs.
6. Kids Summer Fun Runs: Huge crowds on first night. Recording breaking food collection.
We can hope good weather continues so we can make up for lost weeks food collection.
7. Mack's Apple race update: Applications are being distributed. Eldon will send
request for volunteers in the coming weeks.
8. Turkey Trot:
a. Race Director: Sean Coyle was named race director.
b. Committees: We have seven members who expressed interest in joining the race committee.
c. Volunteers: We will have a committee meeting in the coming weeks to assign duties and will
follow with an email asking for volunteers in specific areas.
9. Turkey Trot Sponsors: John McGarry has been hard at work soliciting sponsors. Parkland,
Delta Dental and MVP Healthcare are on board for a total of $1500.00.
10. Newsletter Update: We have three members who expressed interest in the newsletter.
Jim Peters will contact the volunteers.
New Business
1. Lynn Wiles Donation Request: Lynn Wiles requested a donation for a charity bike ride he is participating in. Sean
made a motion we donate $100.00. Maureen seconded the motion. All in favor.
2. 1. Granite Runner Shirts: Sean questioned why we have not heard anything from NHGP about the granite runner shirts from 2010.
Paul Doe will check with Mark Lutter and Dan Duggan concerning this.

5. Track Workouts-Attendance has improved, the workouts continue to be challenging
but the results are showing. Brandon is gearing us up for our Sandown race. Our second
payment to Brandon is being cut.
6. Kids Summer Fun Run: We averaged 400 kids per week and gathered 1800 pounds of food in only
four weeks. We received two thank you notes, one suggestion (that was implemented) and one complaint. We
were under the $3000 budget. There were several suggestions made for next year, including better traffic
control, having a designated speaker, and managing each race more effectively. A thank you note is being
sent to Larry Martin, since he took $600 off the cost of our shirts. There are some shirts leftover.
7. Mack's Apples race update-Eldon has everything under control. Dave Breeden will handle the
timing. Flyers are made and are waiting for distribution. Other tasks will be assigned in the coming weeks.
Turkey Trot Committees: Our first meeting is scheduled for August 4th. Our race director Sean will assign
tasks to handle each part of our race. We are all excited to make this a very successful event
9. Turkey Trot sponsorships: Parkland Medical Center, Delta Dental, and Shaws have all sent us checks to
be sponsors. MVP has committed to give $3,000, specifically to pay for the registration fees for kids 16 and
under. We are working out the logistics in order to make that happen. $4,500 in total has been raised with more to come.
10. Newsletter Update: Newsletter volunteer update: Still waiting for someone to commit.
New Business
1. There is a question for when the Granite Runner shirts will be distributed. Still waiting for an answer
2. Dave Veale has asked the club to use our timing clock. The request was approved.

5. Mack's Apples Recap: Despite having to reschedule the race due to the hurricane, there were 88 people
who ran the race. It was a great event and well received by the participants. As always, GDTC came out in
full force to help make the event a success. There was discussion about increasing the registration price
for a family for next year. The race made a small profit.
6. Turkey Trot update: The website is up and registration is open, 15 have registered so far. The porta
potties and buses were ordered. Barry is getting turkeys to give away as prizes. Everything is at or ahead
of schedule. Jim Peters researched a fence for the finish line and found one for $400.00. A motion was made
to purchase the fence. It was approved and seconded. Those attending the meeting thought purchasing the
fence will ultimately save the club a tremendous amount of money. We have several prizes for the post race
raffle, with more to come. There was discussion about posting what we donate to charities from the proceeds
of our races. No resolution was made but the discussion will continue at a later date
7. Sponsorships-Cedars Foods has agreed to be a food sponsor for the Turkey Trot. We will have hummus and
pita chips for the finishers, in addition to yogurt from Stonyfield. There are several proposals still out
there for additional monetary sponsors.
8. Newsletter Update: No takers yet
New Business
1. Barn Party- targeted date of 9/25
2. End of the Year Party-Target date of 11/18. An email will go out to the club to get applications
for scholarships, Boston Marathon number requests, and member of the year nominees. The cost is $5 per
member. John McGarry, Rosa, and Mariano will be on the committee to award the scholarship winners
3. Last track workout- Target date of 10/12. An email will go out announcing the date with Pizza at
Papa Gino's afterwards
4. Granite Runner Shirts- The NH Grand Prix will most likely not provide shirts for last year's Granite
Runners. Sean is looking into having shirts made

4. Turkey Trot update: 50 adults and 18 kids have signed up so far. Dave Breeden is ordering the bibs and was paid for his

to wear and will order T-shirts on 10/6. We have plenty of raffle prizes with more to come. Lynn Wiles will send another press
release out shortly. Fireye is donating 10 turkeys that will be awarded to the top finishers.
5. Sponsorships-Winding down for the Turkey Trot with a few proposals still out there. Sam's Club is providing 75+ cases of
water, so they make the sponsor list. Merchants Rent a Car is a bronze sponsor. Additional sponsors are MVP, Delta Dental,
Parkland, Shaws, Stonyfield, and Cedars. MVP is reviewing our 2012 proposal. John McGarry is working on a proposal for the
Boston Prep and plans for next year
6. Last Track Workout/pizza party October 12- Mark has confirmed with Papa Gino's. BYOB
7. Barn Party October 23- confirmed. Come at 8:00 am to run and 10:00 to help clean our equipment
8. End of the year party November 18- after lengthy deliberation a motion was made by Sean and seconded by John to change
the venue to Halligan's pub. Unfortunately, the upstairs is too small for our needs. We are back at the Londonderry Country Club
New Business
1. Boston Marathon numbers- no announcement yet if/when we will receive numbers this year
2. Boston Prep-January 22nd with a rain date of January 29. Dave Breeden has the website up and active, registration
is active and ready to go. West Running Brook School and the church have been reserved for use.
3. Manchester Marathon- is looking for volunteers to help with course monitors. An email will be sent out to the club
4. Bay State Marathon- is looking for volunteers and will pay the club $300 for 10 volunteers
5. Mill Cities Relay-December 4th A $50 deposit has been made, teams will be formed in the coming weeks
6. Elections- The club will need to replace Maureen who is stepping down as Treasurer. An email will be sent

4. Turkey Trot update: 239 adults and 71 kids have signed up so far. Finish line fencing is almost complete… Jim
Peters should have that wrapped up in the next few days. Becca Noe has 8 cub scouts who have volunteered for the water
stop, she is looking for four more. We are still looking for donations for bagels, bananas, and sports drinks. John
McGarry is looking in to options. We will continue to promote the event until race day.
5. Sponsorships-Peoples United Bank, Concord Orthopaedics, and Granite State GI have agreed to be sponsors for the
turkey trot. The total is 7 monetary sponsors and 3 food sponsors. Many sponsors are providing banners and goodies for
the Turkey Trot. Delta Dental has already committed to provide $1,100 next year (600 turkey trot, 500 KSFR)
6. Barn Party Recap- As usual, the event was very well attended. The equipment is clean and ready for use. Breakfast
and lunch were served to all attended. Well done
7. End of the year party November 18- Maureen has agreed to be the emcee once again. 47 members have registered so
far. A caterer has been selected. We have 5 scholarship applications to be reviewed and 6 Boston Marathon applications.

8. Mill City Recap: 12 teams- all finished. Fast Farmers and Baby Chasers won a brick- 8th GDTC overall.
9. Track Coach Update: Offer Brandon coaching position. First year learning curve for members and new coach. Rave reviews from members attending track work outs.
